Configuring Staff Permissions in the OttoApp

This guide explains how to manage staff access to specific features within the OttoApp. You can assign permissions to entire groups or individual users.


  1. From the main Dashboard, click on the Operate tile.
  2. Locate and click on the Permissions tile to open the configuration screen.

Configuring Access

The Permissions screen is organized by category tabs (e.g., Accounts, Items, Events). To assign permission for a specific feature:

  1. Select a Category: Click through the tabs at the top to find the relevant feature.
    • Note: Not all tabs contain configurable settings. For example, the Items tab may display "No permissions have been configured for this category yet" if no features are available there.
  2. Locate the Feature: Find the specific action you want to restrict or allow (e.g., "Adjust Balances Due" under the Accounts tab).

    Assign Access:

    • By Group: Click the Groups text next to the feature description. In the "Edit Groups" pop-up, click + Add Group to select which staff groups have access.
    • By Person: Click the People text next to the feature description. In the "Edit People" pop-up, click + Add Person to grant access to specific individuals.

Available Permission Categories

The following features are configurable. New permissions are added on an as-needed basis:

  • Accounts:
    • Adjust Balances Due
    • Adjust Account Credit
  • Events:
    • Create Organization Event
  • Facility Rentals:
    • Create Organization Event
  • Transactions:
    • Void Transaction
    • Initiate Refund
    • Override Eligibility
  • Communication
    • Send Mass Message
  • Configuration
    • Manage Permissions
