How to Conduct an In-House Facility Reservation
Conducting an in-house facility reservation is a straightforward process in the OttoApp. Follow these steps to book a room or facility for a patron.
Step 1: Start a New Transaction
- From the main Dashboard, click on the Transact icon.
- In the Transaction screen, select the All Items.
- Use the search bar to find the facility you wish to reserve (e.g., search for "comm" to find the Community Room Rental).
- Click on the desired facility from the search results to open the Facility Availability window.
Step 2: Assign an Account
- At the top of the Facility Availability window, click None Selected next to "Account of Record".
- Use the Account Search to find the patron by name or phone number, then select their account.
Step 3: Select Date and Rate
- Choose the Reservation Date using the calendar picker.
- Select the appropriate Rate Filter (e.g., Per 30 Minutes, Per Hour Rate, etc.).
Step 4: Choose the Time and Location
- In the availability grid, find the specific room (e.g., COM 2) and the desired start time.
- Click and drag or click the start and end times in the grid to highlight the duration of the reservation.
- Verify the Duration and Total Price shown next to the grid.
- Click the Add to Cart button.
Step 5: Process Payment
- Review the items in the Cart on the right side of the screen.
- Click the Add Payment button.
- Select the Payment Type (Cash, Check, or Credit/Debit).
- Click Add Payment to apply it to the transaction.
- Click Complete Transaction to finalize the reservation.
Step 6: Receipt and Confirmation
- Once the transaction is complete, a confirmation window will appear.
- Click View/Print Receipt to generate a copy for the patron.
- You can now Email Receipt or Print Receipt from the top of the receipt view.
